SUMMARY:
Supporting the Eastern Distribution Center (EDC) in Easton, PA with Traffic Office functions, Payroll, Contractor payroll, Purchasing, Invoices, Employee relations.
ESSENTIAL DUTIES:
  • Process payroll weekly for full-time EDC employees.
  • HR, filing of employee documents, tracking of attendance, entering requests for hiring and terminations. Entering/removing full time employees/contractors in attendance calendar, phone log, door access, staffing spreadsheet, training spreadsheet, contractor hour tracker.
  • Light employee relations, answering questions and concerns the employees may have regarding reimbursement requests and any other needs.
  • Maintaining spreadsheet tracking contractor hours and invoices for staffing agencies. Tracking contractor time off.
  • Tracking end of year vacation/pad payouts for hourly employees.
  • End of month reports, contractor hours worked for the month and PAD time that full-time employees have used during the month.
  • Coordinate meetings and catering as requested.
  • Answering the door, for visitors, interviewees, new contractors, vendors/suppliers
  • Entering request for new purchase orders, tracking of purchase orders for needed increases. Reviewing needed consumable supplies weekly and requesting shipments as needed for vendors.
  • Collaborating monthly with vendor for tracking and receipt of consignment operating supplies. (Pallet toppers, machine wrap…)
  • CHEP pallet ordering.
  • Invoice reviewing, for accuracy, duplicates and submitting to correct person for approval.

OTHER:
  • Coordinating with vendors for necessary repairs for plumbing issues, vending machines, electrical needs, phone lines.
  • Checking the emergency lines each month to verify they are working correctly. Contacting the local police department to determine if the address is correct on the 911 console.
  • Ensuring that the front office is supplied with copy paper, ink pens, coffee supplies and any other needs.
  • Any other task that may be required or requested.

SUPERVISORY RESPONSIBILITIES:
  • May be required to step into limited supervisor responsibilities as needed.

QUALIFICATIONS:
  • Strong problem resolution and decision-making skills, be creative and resourceful and display sound judgment and demonstrate accountability.
  • Self-motivated; able to work both independently to complete tasks and respond to staff requests, as well as collaborating with others.
  • Ability to drive or work independently toward the attainment of project completion dates.
  • Strong organizational skills: ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast-paced environment and to prioritize tasks to meet requirements and deadlines.
  • Ability to work in a sensitive information, time-sensitive, and high-volume environment.

EDUCATION AND EXPERIENCE:
  • Minimally requires High school diploma and 5 years relevant experience.

ENVIRONMENT:
  • Strong verbal and written communication skills are required.
  • While performing the duties of this job, the employee is regularly required to sit, stand; walk; use hands, talk and hear.
